Instructions

  • Final coding entry and validation takes place in SITS.
  • Data from the HESA or Qualtrix web entry systems are cleansed, de-duped and uploaded to SITS HQR table.
  • HQR data can be seen in the HQI screen (not the HQR screen, which is deprecated for archive use only).
  • Check or edit in HQI:
    • Clear the screen (F12) to remove previous entry data (store the previous entry first using F6, Ctrl+S or the save icon).
    • Retrieve (F5 or Ctrl+R) the graduate by Student Code.
    • Check Name to ensure you're entering the correct record.
    • Each individual can appear multiple times in HQI in any year. Ensure you are entering the data into the correct year AYR Code, Course title and Data collection status.
    • Check Data collection status (reconcile and combine web and form data to submit the best overall evidence) and change if necessary.
    • Where Incomplete Survey is shown for web submissions, determine if sufficient evidence is available and change status.
    • If explicit refusal, enter the date of call as Created date and Data collection status, then store.
    • Don't check contact details.
    • (Q3) Job Title. Check spelling and capitalisation (note bulk changes if necessary).
    • Enter SOC code (Q3/4).
    • Enter POSTDOC (Q3/4).
    • (Q6) Annual Salary. Remove any currency symbol or comma separators. EMPPAY returned should be that which is stated by the HE leaver, e.g. 25499.99 and not rounded. A numerical value, which may be returned to an accuracy of two decimal places, e.g. 25499.99. If not already set, ensure EMPUNPAID is set where EMPPAY has explicit text to say unpaid then delete text.
    • (Q9) Hour. The information captured relates to what the HE leaver considers to be their MAIN job. A numerical value, which may be returned to an accuracy of two decimal places, for example 37.75.
    • (Q10) Estimated Earnings. A numerical value must be coded. For example: £15,000 should be coded as 15000, £6,000 should be coded as 6000.
    • (Q11) Employer Name. Check spelling and capitalisation (note bulk changes if necessary).
    • (Q12) Employer Business. Ensure description is ready for external SIC coding, ie: not "As above". (Note bulk changes if necessary).
    • (Q13) Employer Place and Postcode. Check name spelling and capitalisation. Check format of employer Postcode (note bulk changes if necessary).
    • (Q26) Check spelling, capitalisation and consistency of the Course Name (eg: MSc Chemistry).
    • (Q26) Check spelling, capitalisation and consistency of the Subject (eg: Chemistry).
    • Enter up to three ESB (External Subject Code) or JACS Codes.
    • (Q28) Check spelling, capitalisation and consistency of the Institution Name (note bulk changes if necessary).
    • Set UCPROV to the institution type.
    • Ignore the INS cd institution field.
    • General recheck of all fields.
    • Don't copy to SED.
    • Don't forget to store the record (F6, Ctrl+S or the save icon).
    • Initial top left corner of form front in red.
