Email services at the UEA is provided by Microsoft and Office 365. Your UEA emails can be accessed in lots of different ways. The great thing is that all of your data is stored on the servers. We have loads of space so you won't ever need to delete old emails or attachments to make more space.

Access all of your emails on all your devices wherever you are.

Remember, if you forget your password you can reset it yourself by setting your verification information.

Staff Email

All staff at UEA are provided with a personal email address when you start your employment. Your email account is linked to your IT account, sharing the same username and password to access the system.

Your email account offers 50GB of storage allowing you plenty of space to manage and archive important messages and attachments. Our email service is entirely cloud based meaning you can access it from anywhere in the world on a variety of devices.

Access your email on your desktop

To access your email simply open the Microsoft Outlook application on your UEA managed computer. Both Windows and Mac operating systems are supported. When you open Outlook your email should already be configured.

Your emails are subject to UEA Record Management Policy. Please follow the guidance and best practices outlined within the policy.

Requesting a new shared mailbox

To request a new shared mailbox you should email the IT Service Desk with the following information:

  • Mailbox owner's username
  • Mailbox owner's name
  • School or Department
  • Preferred email address
  • Preferred email display name

You can only make requests for your own mailbox. You cannot request one on someone's behalf.

For top level email addresses (oneword@uea.ac.uk rather than two.words@uea.ac.uk) we will need to ask permission from Digital Marketing, which can delay the process.

Adding a shared mailbox to Outlook

  1. In Outlook select the File tab.
  2. In the Info section select Account Settings.
  3. Select Account Settings from the drop down menu.
  4. In the Account Settings window select Change.
  5. Select More Settings in the Change Account window.
  6. Select the Advanced tab then click Add…
  7. Input the name or email address of the shared mailbox you would like to add. Select OK.
  8. Click Apply then OK.
  9. Click Next to forward through the Change Account window. Select Finish to complete the setup

Managing access to a shared mailbox

  1. Login to SPOT, the UEA Identity Management Site, with your username and password.
  2. Select Manage Groups from the left menu.
  3. A list of all groups owned by you will now be displayed by their username.
  4. Select one of the access lists that you want to add people under Group Name.
    1. Exchange_SendOnBehalf_username = members in this group can send on behalf of this mailbox.
    2. Exchange_FullMBX_username = members of this group have full access to the mailbox.
    3. Please note, to have full access to the mailbox members will need to be added to both groups.
  5. Select Add Member.
  6. In the Add Member screen search for the people you wish to add to the group. You can search by username, first name, last name, full name etc.
  7. When you have found the person you wish to add, tick Add.
  8. Input an end date if you wish their access to the mailbox on a certain day. This can be left blank to have ongoing access.

Email Setup - Android

  1. Download the Outlook app from the Google Play Store.
  2. Open the Outlook app and tap Get Started.
  3. Input your UEA username in the format abc17xyz@uea.ac.uk.
  4. The UEA login screen will appear. Input your UEA username (in the format abc17xyz@uea.ac.uk) and password. Tap Sign in.
  5. You may need to allow the Outlook app to be an administrator on your device. Select Activate to continue.
  6. In the Device Administrator settings select Activate this device admin app.
  7. UEA Security Policy requires that your phone can be lock by a password with at least 6 digits. Tap Set New Password to continue.
  8. Once your password is set your UEA email account should now be successfully added to your phone.

  1. From the Home Screen tap the Settings icon. In Settings click on Mail.
  2. Select Accounts.
  3. Tap Add Account.
  4. Select Exchange from the list of account types.
  5. Enter your UEA username in the format abc17xyz@uea.ac.uk. Input a description for the account. Click Next.
  6. Input your UEA Password then tap Next.
  7. Select which parts of your UEA email account you would like to sync with your device. Tap Save.
  8. Your email account should now be configured on your device.

Email setup - Mac OS

Outlook is the best app to view your emails on a Mac. You can download up to 5 free copies of Office 2016 from http://office365.uea.ac.uk.

  1. Once you have downloaded Office 2016, open Microsoft Outlook.
  2. Select Get started and then Sign in.
  3. Input your UEA username (in the format abc17xyz@uea.ac.uk) and click Next.
  4. Input your UEA password and click Sign in.
  5. Choose how you would like Outlook to display then select Continue. Click Start Using Outlook.
  6. Click Add 'your username', then Done.
  7. Your email account should now be configured on your device.

  1. In the menu select Settings.
  2. Select email+accounts.
  3. Select add an account.
  4. Select Exchange.
  5. Input your UEA username (in the format abc17xyz@uea.ac.uk) and password. Tap sign in.
  6. UEA Security Policy requires that your phone can be locked by a password with at least 6 digits. Tap set to continue.
  7. Create a new password. Tap done when happy.
  8. Once your password is set your email account should now be successfully added to your phone.

  1. Open Outlook from the Start menu.
  2. Input a profile name, we recommend UEA. Click OK.
  3. Input your UEA username in the format abc17xyz@uea.ac.uk. Click Connect.
  4. The UEA login window will appear. Input your UEA username (in the format abc17xyz@uea.ac.uk) and password. Click Sign in.
  5. You can chose to add your UEA account to your PC, click Yes if you are happy to do this.
  6. Click Done on the account success screen.
  7. Click OK on the account setup completion window.
  8. Your email account should now be configured on your device.
