ITCS is making changes to our desktop and laptop environment to make it easier to access your files, especially when you are away from UEA. A new tool, Ivanti File Director, can be used on Windows, MacOS, iOS and Android to sync your data and also allows access to files via the web. This service replaces Acronis Access and Windows Offline Files. A guide to disabling Windows Offline Files on your UEA Windows device can be found here.

 

Access your Central file store:


Accessing Your Central File Store using the File Director Client (Windows)

You can use the File Director Client to access your Central File Store on your own device, from any internet-connected location.

By using the File Director Client you are able to view and manipulate your Central File Store through Windows Explorer.  Changes you make to files are immediately synchronised with your Central File Store.

 

 

Install and Configure the File Director Client

The File Director Client installer can be downloaded from here:

You will need to login with your usual UEA username (e.g. abc17xyz@uea.ac.uk) and password to access the download.

The client can only be used on 64-bit versions of Windows.

Download and double click the File_Director_4.3.74.0_x64 file to begin the install.

Click Next to run through the installer selecting the default options.

 

 

 

 

 

Enter the server host name - datanow.uea.ac.uk

 

 

 

After entering your username and password continue to click next to finish the installation.

 

Using the File Director Client

In Windows Explorer, the File Director Client will add a new entry to your Favourites:

 

 

Within the File Director folder you will find a folder named ’home’.  This is your Central File Store.  Within the ‘home’ folder you will find your familiar folders such as your Documents folder.

 

 

You can now work with your Central File Store files as you normally would.  For example, you can open and edit a Word document, then just click save.  The file will be automatically saved back to your Central File Store.

Install and Configure the File Director Client

The File Director Client installer can be downloaded from here:

You will need to login with your usual UEA username (e.g. abc17xyz@uea.ac.uk) and password to access the download.  

Download the installer and run by clicking the “File Director Installer.pkg” icon

 

 

Click ‘Continue’ to move through the installation.

 

 

 

Click the ‘Install’ button.

 

At the end of the installation you will be prompted for account details.

 

Enter the Server Name: datanow.uea.ac.uk

Enter your usual UEA username (e.g. abc17xyz@uea.ac.uk) and password and click ‘Validate’

 

 

Close the preferences window.  An installation complete message will be shown.

 

 

Using the File Director Client

In Finder you will now find a ‘File Director’ folder within your user directory.  You can also reach this location quickly by clicking the File Director logo in the Finder taskbar and select Open File Director Folder.

 

 

Expanding this folder will show you the contents of your Central File Store.  Within this folder you will find your familiar folders such as your Documents folder.

Using the File Director Client

Icons and menu options

Function

Description

Search - Find specific files and/or folders in any of your File Director folders. Tap and enter your search criteria - the results are refined as you enter text. Searches are conducted from the current folder downward. So to search all folders, go to the root of map point and search from there.

File Director - Tap the icon to return to the folder you were previously viewing. Double-tap the icon to go to the map point listing.

History - Shows list of all the files you have uploaded and downloaded. Tap a file to navigate to its location in File Director.

Queue - Tap the icon to show a list of files currently being downloaded and their progress. Tap a file and select the required option to Pause or Abort a download.

Settings - View memory usage and update History settings.

Share - Share files from File Director with others, giving selected contacts access to the files via the Web Client.

Open in - Use other apps installed on your device to open files in File Director. The apps available are relative to the file you have selected.

Download - Save files from the server to your device.

Tap Select from the drop-down menu, select the required files, and tap the Download icon. The selected files are downloaded to your device and added to your History.

Transfer - Move or copy files to your other File Director folders.

Tap Select, select a file, tap the Transfer icon, and choose a destination for the file. You can only transfer one file at a time.

Delete - Remove downloaded or recent files from your device or delete them from your server.

Tap the Edit icon, select the required files, and tap the delete icon.

 

Menu Options

Access the following additional actions from the drop-down menu in the File Director iOS app:

  • Sort - Order the files and folders in any of your File Director folders. Tap to sort your files by Name, Date Created, Date Updated, Last Viewed, Size, or Type.
  • Select - Make files selectable so they can be deleted, downloaded, and transferred. Folders can only be deleted. Tap and select the required files and/or folders.
  • New Folder - Create a new folder in the current location. Tap the Folder icon, enter a name for the folder, and tap Create.
  • Add files - Opens a list of apps or locations from which you can directly upload files to the current File Director folder. You can also pull in files from apps such as Dropbox.

 

Swipe Menu

Single files can be swiped left to display individual file options. You can Delete the file or tap More for the following options:

  • Share
  • Download
  • Move/Copy
  • Rename
  • Open in (only available for compatible files)

The options that display depend on the status of the file. For example, you do not have the options to share or rename a read-only file.

 

Uploads and downloads

You can upload files your File Director server in the following ways:

  • When logged into File Director on Windows, by saving files to any writable location in your File Director folder.
  • Adding files using the File Director Web Client.
  • Using the iOS app, by uploading files from other providers.

Uploading files from an iOS device to File Director takes place outside the File Director app. For example, to upload a Word file, save the file locally to a File Director folder. The Word file is queued, and then uploaded to File Director the next time you access the File Director app.Uploading files from an iOS device to File Director takes place outside the File Director app. For example, to upload a Word file, save the file locally to a File Director folder.   • You cannot upload files to read-only folders.

Example: Upload a photo to File Director

  1. In the photos app, select a photo and tap the upload icon.
  2. You can select multiple photos for upload.
  3. Select File Director from the apps and activities available for sharing.
  4. If File Director is not listed, tap More. In Activities, set the toggle switch to enable uploads to File Director and tap Done.
  5. Supply the Touch ID for File Director. You are prompted for your Touch ID every time File Director returns from the background.
  6. Navigate to the folder to which you want to upload the file.
  7. Tap Send.
  8. The file is uploaded

 

File Director offers two methods to save single files locally to view offline.

Download and view single files

  1. Open the folder and tap the file that you want to download.
  2. The file downloads and you can view it.
  3. Swipe left to view other files in the folder.
  4. Files that are not downloaded display a cloud icon. Tap the Download icon to download a file.
  5. The file downloads and opens for viewing.
  6. Repeat the process to download and view more files.

Download a single file

  • Swipe left on the file that you want to download and tap More.
  • Tap Download.
  • The file downloads.
  • The file displays the downloaded overlay and are available in your history folder.

 

Download multiple files

  1. In the folder that contains the files you want to download, tap the menu icon.
  2. Tap Select from the menu.
  3. Select the files you want to download. You cannot download folders. To download the contents of a folder, open that folder and select the files within it.
  4. Tap the download icon.
  5. The selected files are downloaded.
  6. The files display the downloaded overlay and are available in your history folder.

Share files

Multiple files

  1. In the folder you want to download files from, tap the menu icon.
  2. Tap Select from the menu.
  3. Select the files you want to share.
  4. Tap the share icon.
  5. Enter the email addresses of the users you want to share the file(s) with. Tap return to add another email address.
  6. Enter a name for the share.
  7. This is optional but it helps you and any recipients identify shares in the Web Console. If you do not enter a name, the share is automatically name Shared Files. This could lead to confusion with multiple shares having the same name. Share names cannot include the % character.
  8. Tap Share.

The server sends an email to the specified address(es) containing a link to the current version of the file(s) at that time.

 

Single files

  1. Swipe left on the file you want to download and tap More.
  2. Tap Share.
  3. Enter the email addresses of the users you want to share the file(s) with. Tap return to add another email address.
  4. Enter a name for the share. This is optional but it helps you and any recipients identify shares in the Web Console. If you do not enter a name, the share is automatically name Shared Files. This could lead to confusion with multiple shares having the same name. Share names cannot include the % character.

Copy and move files

File Director files can be transferred to other folders.

  1. Locate the folder that contains the files you want to move or copy and tap Select.
  2. Select the files.
  3. Tap the transfer icon.
  4. Navigate to the folder to which you want to transfer the files.
  5. Tap Move or Copy.

If the move option is not enabled, the originating folder might be read-only. Contact your IT Support department for further information.

The files are moved or copied to the selected location.

Single files can also be moved or copied from the swipe menu. Select Move/Copy, navigate to the required folder, and select whether you want to move or copy the file.

 

Rename files

Rename File Director files using the Swipe menu options.

  1. Swipe the file you want to rename and tap More.
  2. Tap Rename.
  3. Change the name of the file.
  4. Tap Rename to confirm the new name for the file.

Remove files from iOS devices

When you remove files and folders from your device they remain on the server, available to download on any of your File Directordevices, desktops and the web client.

Remove a download

  1. To remove a file locally, but retain it on the server:
  2. Swipe the file.
  3. Tap More
  4. Tap Remove Download.

Delete files from folders

  1. In the folder that contains the files and folders you want to delete. open the context menu and tap Select.
  2. Select one or more files and folders.
  3. Tap the delete icon.
  4. Confirm the delete.

If you have warning messages for deleting files switched off, the file is deleted immediately without you having to confirm.

Selected files and folders and their contents are removed from your device.

Remove files using Settings

Using the History Usage setting, you can remove files based on when you last viewed them.

  1. Tap Settings.
  2. Tap History Usage.
  3. Choose one of following Remove files viewed since options:
  4. Now (Remove All)
  • 1 Day Ago
  • 1 Week Ago
  • 4 Weeks Ago

You can remove all File Director files and folders from your iOS device by changing your account settings.

 

Integration with iOS Files app

Once setup users of iOS 11 or later can integrate Ivanti File Director with the Files app (https://support.apple.com/en-gb/ht206481) which will also allow you to open Microsoft Office documents directly from the Microsoft Office apps without having to make copies of files in alternative locations. You can do this as follows:

  1. Open a Microsoft Office app
  2. Tap the Open icon
  3. Tap More
  4. Tap File Director
  5. Unlock the app using your fingerprint or passcode
  6. Browse to the file to open and tap it to open

Tap Select, select file(s) and/or folder(s), tap the Action icon, and choose a destination for the files or folders. You can transfer multiple items at a time.

Delete - Remove downloaded or recent files from your device or delete them from your server.

Tap the Select icon, select the required files or folders, and tap the delete icon.

 

Menu Options

Access the following additional actions from the highlighted menu icon in the File Director Android app:

  • Name - Order the files and folders in any of your File Director folders by Name. Tap to toggle between ascending and descending order.
  • Date - Order the files and folders in any of your File Director folders by Date. Tap to toggle between ascending and descending order.

 

Access the following additional actions from the highlighted menu icon in the File Director Android app:

  • Upload Here – Upload files and/or folders stored on the Android device to the current location. Tap Upload Here, select the files and/or folders to be uploaded, and tap Upload.
  • Create New Folder - Create a new folder in the current location. Tap Create New Folder, enter a name for the folder, and tap OK.


Application Menu

 

Access the Application Menu by tapping on File Director at the top left of the app. From here you can access gain quick access to Remote Storage and Local Storage locations as well as Settings.

 

Uploads and downloads

You can upload files your File Director server in the following ways:

  5. You can select multiple photos for upload.
  6. The file is uploaded

  3. For some file types you may be prompted for which app to open the file in. Select the most appropriate app such as Word
  4. Repeat the process to download and view more files.

  3. Tap the Download icon.

  1. File Director files can be transferred to other folders.
  2. Locate the folder that contains the files you want to move or copy and tap the Select icon.
  3. Select the files.
  4. Tap the Action icon.
  5. Tap Move or Copy.
  6. Navigate to the folder to which you want to transfer the files.
  7. Tap Move or Copy.

If the move option is not enabled, the originating folder might be read-only. Contact your IT Support department for further information.

The files are moved or copied to the selected location.

 

Remove files from Android devices

When you remove files and folders from your device they remain on the server, available to download on any of your File Director devices, desktops and the web client.

Remove files using Settings

Using the Saved or History local storage in the Application menu you can remove files.

  1. Tap Application menu
  2. Tap Saved or History.
  3. Tap Select.
  4. Select the files to be deleted.
  5. Tap Delete.

You can remove all File Director files and folders from your Android device by tapping Logout.

 

 

Accessing Your Central File Store (CFS) using the Web

The File Director portal can be used to access data stored in your UEA Central File Store from any internet connected device.

To access the portal navigate to : https://datanow.uea.ac.uk/

 

 

Login using your usual UEA username (e.g. abc17xzy@uea.ac.uk) and password.

A list of available locations will be presented.  One of which will be ‘Home’, this is your Central File Store.

 

 

Click ‘Home’ to view your Central File Store.  Your standard directories such as ‘Desktop’ and ‘Documents’ will be shown.

 

 

Clicking on folders will show the contents of the folder.  Clicking on a file will download a copy of the file to the device you are working on.

 

IMPORTANT – If you download a file to your device and open it, you will be working with a copy of the file.  If you amend the file you will need to save and upload the file back to your Central File Store.

Click the icon to create a folder in your current location.

Upload - Add files to the current folder.

Click the icon and navigate to the required file. The file is uploaded to the server.  

Copy - Create copies of files and folders.

Select one or more files and/or folders and click the icon. Select the destination folder and confirm.

Move - Create copies of files and folders.

Select one or more files and/or folders and click the icon. Select the destination folder and confirm.

Rename - Change the name of a file or folder.

Select a file and click the icon. Enter a new name and confirm.

Share - Share one or more files with recipients, identified by their email address.

 

Delete - Remove files and folders from your Central File Store

Select one or more files and/or folders and click the icon. Confirm the delete to complete the action. The selected files, folders, and their contents are removed from the server and are not available to your other File Director devices.

 

 

Share files

File sharing allows you to share files from your Central File Store with contacts outside of the UEA.  If you are wishing to share content internally the recommended approach is to use OneDrive which is provided as part of your UEA Office 365 account.

  1. Locate the folder which contains the files you want to share.
  2. Select the files you want to share. Multiple files can be shared but folders cannot.
  3. To share the contents of a folder, each file must be selected. Use the checkbox at the top of a list of files to select all files - any folders in the list must be deselected before the files can be shared.
  4. Click the share icon.
  5. In the Share Files dialog, type in the email addresses of the users you want to share the files with. Separate multiple addresses with a semicolon.
  6. Enter a name for the share.
  7. This is optional but it helps you and any recipients identify shares in the Web Console. If you do not enter a name, the share is automatically name Shared Files. This could lead to confusion with multiple shares having the same name. Share names cannot include the % character.
  8. Click Share.

The server sends an email to the specified address(es) containing a link to the current version of the file(s) at that time.
