We recommend the addition of the following disclaimer to all external emails:

Whilst all efforts are made to safeguard emails, the University cannot guarantee that attachments are virus free or compatible with your systems, and does not accept liability in respect of viruses or computer problems experienced. Contracts cannot be concluded with us nor service effected by email. Thank you for your co-operation.

As with confidentiality notices, the legal effect of the above disclaimer is dependent upon the willingness of any court viewing them to give it effect. It is an attempt to both limit liability of the University and to warn the recipient of our handling of any response.

Experience has shown the value of maintaining a professional tone in all content of emails. Employees of the University of East Anglia are expressly required not to make any defamatory statements and not to infringe or authorise any infringement of copyright or any other legal right by email communications. Any such communication is contrary to University policy and outside the scope of the employment of the individual concerned. The University will not accept any liability in respect of such a communication, and the employee responsible will be personally liable for any damages or other liability arising.
